# Fitting Out an Office for Hybrid Work: The Six Decisions That Change the Brief

The instinct when a team goes hybrid is to take less space. That part is usually right. What follows is usually wrong: the same layout as before, scaled down, with rows of desks nobody sits at and two meeting rooms permanently occupied.

AlcorOne Solutions is an execution-first interior contracting firm delivering turnkey residential and commercial fit-outs across South India. It is headquartered in Chennai, with offices in Hyderabad, Visakhapatnam and Rajamahendravaram.

## 1. The sharing ratio, decided before anything else

Every other decision follows from one number: how many desks per employee. A team of 60 at full allocation needs 60 desks. The same team with a three-day office pattern, unevenly distributed, might need 40 — or 50, if everyone comes in on Wednesday.

The trap is averaging. Attendance in hybrid teams clusters hard around midweek, so a ratio set from the weekly average produces an office that is empty on Monday and short of desks on Wednesday. Size to your realistic *peak*, not your mean, and get the actual attendance data before the drawings start rather than estimating it.

This is the one decision that cannot be deferred. Every square foot in the plan depends on it.

## 2. The meeting room mix inverts

In a fully in-office team, meetings are mostly people in a room. In a hybrid team, most meetings have someone remote — which means the demand shifts from a few large rooms to many small enclosed ones.

The specific failure is well known to anyone who has worked in a converted office: a floor with two big boardrooms and no small rooms, where people take video calls at their desks because there is nowhere else, and the open plan becomes unusable for everyone else. Small one- and two-person enclosed rooms are the highest-value square footage in a hybrid office, and they are the thing most often cut for looking inefficient on a plan.

## 3. Acoustics stop being a nicety

Once a meaningful share of conversation is spoken into a laptop, acoustic separation moves from comfort to function. Three things carry most of the result:

- **Partitions taken to the slab**, not stopped at the false ceiling. A partition that ends at the ceiling grid leaks sound over the top, and this is the single most common acoustic defect in Indian office fit-outs.
- **Soft surfaces in the open plan** — carpet, acoustic baffles, upholstered elements. A hard-surfaced open floor amplifies every call.
- **Door seals on call rooms.** A gap under the door undoes the partition above it.

## 4. Power and data density goes up, not down

Fewer desks does not mean less electrical work. Hot-desking means any desk must support any person, so every position needs full power and data provision. Add the call rooms, each needing a screen, power and connectivity, and the point count often rises even as the desk count falls.

Plan for docking at every shared desk. A hot desk without a dock is a desk people avoid, and avoided desks are the most expensive thing in a hybrid office.

## 5. Storage moves from the desk to the wall

A shared desk cannot have a personal pedestal. Storage has to become lockers — enough for everyone who might come in, not for the desk count, since people store things whether or not they have a fixed seat. This is a small line item that causes disproportionate friction when it is undersized.

## 6. Booking and wayfinding are part of the fit-out

A hot-desking floor needs people to find a free desk without walking the length of it, and to book a call room without asking around. Whether that is a screen at the entrance or something simpler, the power and data provision for it has to be in the drawings. Retrofitting a display into a finished reception wall is avoidable and annoying.

## What this costs

Our published band for commercial fit-out is **₹3,000–10,000 per sq ft of carpet area, fully loaded** — see [office fit-out cost](https://www.alcorone.com/services/office-fitout-cost/) for what sits at each end of that range and what "fully loaded" includes.

Worth being clear about one thing: a hybrid fit-out is usually a *higher* rate per square foot than a conventional one, on a smaller area. More enclosed rooms, more acoustic treatment and higher services density all sit at the upper half of the band. The total is often lower because the area is smaller. The rate is not.

## The honest limit

No fit-out fixes an undecided working policy. If the organisation has not settled how many days people are expected in, and whether teams come in together, then the sharing ratio is a guess and everything built on it inherits the error. We have seen this run both ways — floors with a third of the desks unused, and floors where the team outgrew the plan within a year.

The most useful thing a client can bring to a hybrid brief is not a design preference. It is honest attendance data, and a policy someone senior has actually committed to.

## Frequently asked *questions.*

### How many desks do we need for a hybrid team?

Size to your realistic peak day rather than your weekly average. Hybrid attendance clusters heavily around midweek, so a ratio derived from the average produces an office that is empty on Monday and short of desks on Wednesday. Pull actual attendance data before the layout is drawn — this is the one decision every other square foot depends on.

### Does a hybrid office cost less per square foot?

Usually more, on a smaller area. More small enclosed rooms, acoustic treatment taken to the slab, and higher power and data density all sit in the upper half of our published ₹3,000–10,000 per sq ft carpet-area band. The total project cost is often lower because you are fitting out less area, but the rate itself tends to rise.

### What is the most common mistake in a hybrid office fit-out?

Too few small enclosed rooms. When most meetings include someone remote, demand shifts from a few large rooms to many one- and two-person call rooms. Without them people take video calls at their desks, which makes the open plan unusable for everyone else. Small rooms look inefficient on a plan and are the highest-value space on the floor.

### How are AlcorOne projects paid for?

Projects require an upfront deposit of 20% of the total contract value before work begins, adjusted against the final invoice. The remaining payment is released in milestones tied to project progress — material procurement, civil and carpentry completion, finishing and handover — and the exact milestone schedule is agreed in writing for each project, since it varies with project size, scope and site conditions. Anything not listed in the signed BOQ is out of scope until it is agreed in writing as a variation, costed and confirmed before execution. Published rates are exclusive of GST.

### What warranty does AlcorOne give on its interior work?

Three tiers, stated separately because they cover different things and expire at different times. Ten years on the plywood carcass from the date of handover, against delamination, borer attack and manufacturing defect in the board — conditional on the grade specified in the signed BOQ being the grade supplied and installed. One year on installation and workmanship: alignment, levelling, fixing, edge-banding and similar. Hardware, fittings and appliances carry the manufacturer's own term, and AlcorOne registers that documentation in the client's name at handover and facilitates the claim. Not covered under any tier: water ingress originating from base-building or plumbing defects outside AlcorOne's scope; damage from misuse, unauthorised modification, or third-party work carried out after handover; and normal wear to finishes.

A hybrid office is a different brief, not a shrunken one. Fewer desks, more rooms, better acoustics, denser services — and one attendance number that everything else rests on.

AlcorOne quotes commercial fit-outs against a line-item BOQ at a published band of ₹3,000–10,000 per sq ft of carpet area, fully loaded, so the trade-offs are visible before you commit to a plan.
